All Client references have been removed to meet our confidentiality agreement we have with all Customers.

This Engineering company produces some 2,000 Job Sheets per month to produce the individual components used for the manufacture of their products. The Sheets are retained for several years as they are also used to log the quality control checks made on every component. The Job Sheet are numbered by the Job Number and the Component reference. 

Reference to Job Sheets is needed either by the Job Number or Component reference with the added complication there are multiple Job Sheets each year for each batch of same Components.

A solution was needed to remove the considerable amount of space and time required to file them and provide a quick way to retrieve Component related queries.

The solution was very simple. 
The Job Sheets are collected on a regular basis by Digital Paper and taken to their Service Bureau. After scanning, each Job sheet is reference by a two level index of the Job Number and the Component reference. 

Using our DMS and Hosting solution an application was created to allow the direct uploading of the scanned and indexed documents. The Data Base Manager within the DMS imports the Indexed values and automatically associates documents with the same reference. 

The Search properties of the DMS then allows the company to search by a unique Job Number to view a specific document or by the Component Number. With this second search option the software instantly produces a list of every Job Sheet held where this component had been manufactured. It is a simple task then just click through and view each Job Sheet.
